Your days as a recruiter are busy and filled with tasks that need to be completed in a timely manner. This can leave you feeling overwhelmed, especially when things are really busy. Time management is crucial in any field, but it is especially important for recruiting as you are dealing with employees, potential candidates, and a company looking for new hires. Knowing how to effectively manage your time will help you stay on track and get things done.

Run effective meetings

Meetings have the potential to take up a lot of time, especially if things get unfocused. It is important to try to keep things focused and stick to the agenda as much as possible so time is not wasted. Create an agenda to let attendees know what will be discussed so they can plan questions and conversations accordingly. If things start getting off-topic, do your best to reel the meeting back to the focus. For virtual meetings, test the platform in advance to minimize tech issues that may arise and to save time from dealing with them. Even if you are having an in-person meeting, if you are using technology such as microphones or slideshows, prep these things in advance and make sure they work so you do not waste meeting time trying to fix them.

Look at data

Many recruiters measure their success by the number of phone calls they have made over a course of time. However, these phone calls may not be as productive as they need to be. It is crucial that recruiters take a look at metrics such as candidates hired and what clients’ goals were met as measures for success instead of just phone calls. Having metrics-based goals is crucial and will help you stay focused on what you need to do. Once you look at the data, you can readjust your game plan and see what you can do that will help you be effective.

Make sure the candidate has the experience, education, and skills you are looking for so that you are not wasting time with candidates who do not fit. Screen resumes and applications before deciding who you want to interview. During the interview process, ask questions that will help see if the candidate is a good fit for your position or not.

Minimize candidate ghosting

In recent years, candidate ghosting has become a trend among recruiters trying to fill positions. Candidate ghosting occurs when a candidate cuts all lines of communication with potential employers. This leaves the employer with wasted time, so it is crucial to minimize the chance of being ghosted. Engage with potential candidates throughout the hiring process so they know where they stand. Be transparent, especially when it comes to money talks and letting a candidate know why they are not the best fit. Emphasize benefits beyond pay and showcase professional development. Consider shortening the hiring process so a candidate you want to hire does not take another offer before you make them your offer. Putting this effort in now can help minimize lost time due to ghosting.

Designated email time

Many recruiters have the urge to check their emails as soon as a notification comes up. This need to check and respond to emails can eat up a ton of time, especially if you do not have a cap for it. Have a few set times throughout your day for checking emails so you can get other things done between check times. When you check your email, skim through them at first and flag ones that need attention or action. Use email templates to help save time from having to type out entire new messages for each email you have to write.

Utilize apps

There are several apps that can help you do your job more effectively while helping you save time. Apps can help you publish jobs to multiple job boards from one account, manage resumes coming in, and even email management. Using these kinds of apps can help save you time so you can get more done.

Managing your time is crucial for being a successful recruiter, so having ways to streamline tasks is important.
